6 Strategies To Boost Productivity

They say time is our most valuable asset. I don’t believe I’ve ever met anyone who would not want to be able to accomplish what they need to in less time. Doing so could create an opportunity for a well-deserved vacation or a special project at work or time spent with family and friends. In today’s world of technological advancements, seemingly limitless digital distractions, and increasing demands on our time, finding ways to enhance productivity seems a very worthy pursuit. The following are six strategies to consider when seeking to optimize productivity: 

 

1. Prioritize Tasks 

First things first, take inventory of the tasks at hand so you can determine the most important among them and the time each will require. Identify items you can delegate (and do so) and, perhaps most importantly, items you should say “no” to altogether. In the words of Warren Buffett, “The difference between successful people and really successful people is that really successful people say no to almost everything.” Now, you can focus exclusively on the remaining high priority items. 

2. Manage Time 

Avoid the trap of multi-tasking. When we think we are multi-tasking, we are really just switching between tasks very quickly, which leads to lower productivity and higher stress. To enhance focus, try time-blocking, a technique where you schedule tasks in blocks of time on your calendar. This can even help deter procrastination because tasks are tied to specific times on your calendar.  

3. Manage Energy 

It’s important to recognize when you are naturally best suited to certain types of activities based on your energy levels throughout the day. Are you more pensive and detail-focused in the afternoons? Schedule data-focused or written work for that time. Are you more energetic in the morning? That is probably a better time for collaborative meetings, presentations, or sales calls.  

4. Tame Distractions 

Limit notifications and activities that pull your attention away from the task at hand. Consider turning off pop-up notifications or sounds for your email, staying off social media, and setting your phone to silent. If you are able, adjust your work location based on the task at hand; for example, if you work a hybrid schedule, certain tasks might be more efficiently tackled in the quiet of a home office while other activities may be more effective face to face in the office. 

5. Take Breaks 

Taking breaks may strike you as counterproductive, but short breaks are key for maintaining focus and preventing burnout. Schedule breaks throughout the day, or take one when you’re feeling a little drained or unfocused. Take a walk to get some fresh air and sunshine, stand up and stretch, chat with a co-worker, or eat a snack. It’s not slacking off; short breaks are good for your brain! 

6. Stay Organized 

Benjamin Franklin once said, “For every minute spent organizing, an hour is earned.” Set yourself up for success by keeping your workspace decluttered and leverage organizational tools such as to-do lists, calendars, and apps or project management software that support the kind of work you’re doing to help you stay on track and manage deadlines.
